Hello Class of 2025, 

This email contains vital information about your immunizations required as part of the M.D. Program. Please read this email in its entirety.  

 

As you know, we will be transitioning the M2-M4 students to a new immunization tracker system (CastleBranch) for all current and future yearly immunization requirements. This means that you will no longer be emailing your flu, Tb Screener, and/or N95 fit test documentation to MD Health Records.  

 

All other immunizations will remain in New Innovations unless you choose to upload them into CastleBranch manually. The university will be paying for your CastleBranch account, and the account is accessible by you for life.  

 

Although the flu shot requirement is not due until November 15th, we are asking that you log in and set up your CastleBranch account right away so that it is ready for you to utilize for flu shot season. Below are the instructions to log in and set up your CastleBranch account.  

 

The only requirement that is due upon account creation is the “CastleBranch Attestation.” If you have already received your 2023 Flu Shot, you are encouraged to upload that documentation upon account creation so you don't forget. If you have sent your 2023 Flu Documentation via email, you will be required to also upload it into your CastleBranch account.  

 

You will have until Monday, October 2nd to set up your CastleBranch account and complete the “CastleBranch Attestation” requirement. Anyone who has not created an account by this deadline is subject to a registration hold.  You are expected to upload your 2023 Flu Shot documentation into CastleBranch by November 15th. 

 

Please follow the steps below to create your CastleBranch account: 

*Please have ready any personal identifying information needed for security purposes (Social Security Number) 

  1. Visit this link: https://portal.castlebranch.com/WX53 

  1. Click the large, red “Place Order” button

  1. When you go to select your package, you will see two options. All M2-M4 students will need to select the package: WX53im2: Continuing Students Compliance Tracker

  1. Check the “I have read order instructions” box, then Click to Continue. 

  1. Review the Terms and Conditions of Use, click the checkbox, then continue. 

  1. You will use your 9- digit BANNER ID as the PIN to create your account. (ex. 00XXXXXXX) This number can be found on your OneCard.  

  1. Please fill in your personal information to create your account. You will create your own password. Please use your Wayne State email address to create your account as this will be your username. Enter “Personal Identifiers.” If a student does not have a Social Security Number, they should enter all ones. “Student Information” is not required. When finished, click “Next.” 

        NOTE: Required fields are marked by an asterisk (*).  

  1. Please verify your email address to receive notifications about your compliance status and additional actions to complete. You must resend the verification email by clicking the underlined link.

  1. Once your account has been set up, you will see a To-Do list with 4 items that will show as “Incomplete”. If you do not see a To-Do list, then your account was not set up properly and you should contact MD Health Records to get you back on track. 

  1. The only task that is due upon account creation is the “CastleBranch Attestation,” please read the information carefully and mark the check box and hit “Submit.” 

  1. When the yearly requirements are due, you can complete your To-Do List by uploading your documentation to each listed requirement. You have the option to (1) upload from the Document Center, (2) upload directly from your computer or flash drive, or (3) you can fax your documenation to CastleBranch for processing using the cover page provided under each requirement.  

  1. Once your files have been uploaded, they will be processed by the CastleBranch team. Please check your CastleBranch account REGULARLY and follow up with any additional actions as prompted.  

    NOTE: Your mark of “Compliance” is always temporary as some requirements expire or are to be renewed annually, as per SOM (School of Medicine) policy. (I.e., TDAP (Tetanus, Diphtheria and Pertussis), Annual TB Screening Survey, Flu Shot)  
  2. Your documents will either be incomplete, pending review, complete, or rejected. Documents that are pending are typically processed within 3-5 business days. There are times when a document may be rejected, either because it does not meet the review guidelines or because it is illegible. In these instances, the requirement will have a status of “Rejected” and the student will be responsible for replacing the documentation based on the reasoning.  

  1. After you complete the order process and create your account, you can log in to your account to monitor your order status, view your results, respond to alerts, and complete your requirements. To access your account, visit castlebranch.com and click Sign In – MYCB. Here you will enter your username and your secure password.

Helpful Hints to Navigate CastleBranch:  

  • Multiple documents may be uploaded to an individual requirement.  
  • Files are restricted to 5 MB or smaller.  
  • Documentation is reviewed by each individual requirement. Always upload supporting documentation to the identified requirement. Reviewers will not look elsewhere in your profile for supporting documentation.  
  • Pay specific attention to what is being asked of you in the rejection or renewal notice.  
  • CastleBranch should be your first line of contact when you have questions about a rejection notice.    
  • All uploaded documents are stored in your document center.
