M.D. Health Records - School of Medicine - Wayne State University

Hello Class of 2028 and welcome to the School of Medicine!  

The CastleBranch portal is now open, and you can begin uploading your immunization documenation as part of the matriculating steps for incoming medical students!

Below are instructions on how to create your account and begin submitting your immunization steps. Please read the steps carefully and use the attached resources to guide you through the process.  

Keep in mind that if you have already sent your documenation via email, you must also upload it to the CastleBranch portal.

STEP 1:

Visit the School of Medicine CastleBranch portal   

STEP 2:

Click the large, red "Place Order" button

When you go to select your package, you will see two options. All Class of 2028 students will need to select this package:

STEP 4:

Check the "I have read order instructions" box, then Click to Continue. 

If you already have an account, please log in. If you do not, then you will be prompted to create one. 

STEP 5:

Please use your Wayne State email address (EX. AB1234@WAYNE.EDU) to create your account as this will be your username. You will be directed to create a password for the myCB account.

Hit "Create Account" when completed.

STEP 6:

Please fill in your personal information to create your account, including signing up with your legal name.

Create security questions for account.

STEP 8:

Read the terms and conditions, check box, then "Continue."

STEP 9:

Confirm that the "Person Information" presented is correct. You can edit this information if there is a mistake by clicking "Edit Order Information."

STEP 10:

Enter "Personal Identifiers." If you do not have a Social Security Number, enter all ones. "Student Information" is not required.

When finished, click "Next."

NOTE: Required fields are marked by an asterisk (*).

STEP 11:

You will be taken to the "Order Review" page, which shows "Order Includes" information based upon package selected when beginning the order process.

STEP 12:

Once you have confirmed that all your information is correct, click "Next" to select the payment method and complete all required fields that display. 

Credit Card/Debit Card (Visa, MasterCard or Discover): Orders typically will take approximately 3-5 business days to complete; however, may take as many as 7-10 business days to complete depending upon volume of orders received.  

Monthly Installments: Total charge divided into three payments with an additional transaction fee of $2.99 per installment added. The initial payment will be 50% of your order total. The remaining balance will be divided evenly to set your installment rate. Charges will occur on the same date each month. Order will be processed upon receipt of first payment and take approximately 3-5 business days to complete. NOTE: Must have a Visa, MasterCard or Discover to use this option.

Electronic Check: An additional $10 processing fee will be added to the total charge, with a $10 service charge for returned checks. Please allow 7-10 business days to confirm available funds and then approximately an additional 3-10 business days to complete. 

Money Order: An additional $10 processing fee will be added to the total charge. Background check orders will not begin processing until the money order is received and results may take up to 2 weeks to complete. NOTE: Contact CastleBranch Service Desk at 888-723-6243, option 1, for total cost before mailing money order.  

STEP 13:

Once your account has been set up, you will see the MyCb landing page.

STEP 14:

You will see an onboarding to-do list with eight items that will show as "Incomplete." If you do not see a to-do list, then your account was not set up properly and you should contact MD Health Records to get you back on track.

STEP 15:

To submit your documentation, open the requirement by clicking the " " icon, click on the "Browse" button, then attach your first document.

STEP 16:

To upload multiple files to one requirement, click the "Browse" button and attach your second document. You will need to click the "Browse" button for each upload. Once all documents have been uploaded to the specific requirement, click "Submit."

NOTE: The requirement's status will change to "In Progress" while your documents are converted into a single PDF file, this status does not mean that your documentation has made it to review. Please await the "Pending Review" status to ensure that the file was uploaded successfully.

STEP 17:

Once your files have been uploaded, they will be processed by the CastleBranch team. Please check your CastleBranch account regularly and follow up with any additional actions as prompted. 

NOTE: Your mark of "Compliance" is always temporary as some requirements expire or are to be renewed annually, as per WSU School of Medicine policy. E.g. TDAP (Tetanus, Diphtheria and Pertussis), Annual TB Screening Survey, Flu Shot.

HELPFUL HINTS TO NAVIGATE CASTLEBRANCH: 

  • Multiple documents may be uploaded to an individual requirement.
  • Files are restricted to 5 MB or smaller. If you receive an upload error, your first action is to reduce the file size and try reuploading.
  • Ensure that you are using a laptop/Desktop PC. Smart Phones and/or Tablets will not suffice.
  • If possible, use Google Chrome when accessing the system. 
  • Documentation is reviewed by each individual requirement. Always upload supporting documentation to the identified requirement. Reviewers will not look elsewhere in your profile for supporting documentation.
  • Pay specific attention to what is being asked of you in the rejection or renewal notice. 
  • CastleBranch should be your first line of contact when you have questions about a rejection notice.
