Dear Class of 2028, 

It was wonderful meeting you all last week in Segment 1 Orientation! As we return from the July 4th holiday, I wanted to send out a few reminders: 

Flu Shot 

The flu shot is not due until November for both the School of Medicine and the main campus. It is acceptable to leave this item blank in CastleBranch for now. More information about this requirement will be provided in the future. 

"In Process" Error 

If your documentation shows as "In Process" for more than a few minutes, please contact CastleBranch directly at (888) 723-4263. This status indicates that CastleBranch is converting your documents. Look for the status to change to "Pending Review" to confirm a successful upload. This error often occurs with submissions of multiple different files, so please combine your files into one document before submitting. 

Hepatitis B Revaccination 

If you need to revaccinate for Hepatitis B, there is a grace period for meeting the requirement. To avoid any impact on matriculation, upload records of childhood vaccinations, negative titer results, and any received doses to show ongoing progress. Upload documentation continuously as you complete the revaccination. Consider the faster two-dose series over the three-dose series, which has a longer interval between doses 2 and 3. Both series require a final titer 4 weeks after the last dose to confirm effectiveness. Ensure you adhere to timelines for revaccination and follow-up testing during your academic term to avoid punitive action.  

Rejected Items 

If your document is rejected, please check the "Rejected Reasoning" in CastleBranch to understand why before contacting MD Health Records. Common reasons for rejection include: 

  1. Incomplete Submissions: If the requirement asks for both titers and vaccine history to be uploaded together, ensure you include both components. Uploading only vaccine history without titers, or vice versa, will not be accepted. 

  1. Incomplete TB Skin Test: The TB 2-Step Skin Test must include both tests. The second test must be given 1-3 weeks after the first. Wait until the second test is administered and read before uploading your documentation. The documentation must include the administered date, read date, and result (negative, 0mm) for both tests. 

  1. Missing Administration Date: Ensure that all documents contain your name, date, and the type of vaccine or test received. 

Please ensure that you are reviwing your compliance staus in CastleBranch at least on a weekly basis until all requirements are met.
